OM: Office Manager

"Coming to the office = zen"

  • Ensure that the office is regularly cleaned.

  • Ensure that deliveries to the office are accepted.

  • Ensure that office faults are repaired, e.g. light bulbs, fridge, coffee machine, heating, aircondition, etc.

  • Ensure that an appropriate stock of consumables is maintained.

  • Ensure that plants remain healthy, i.e. watering, potting, taking them in over winter, etc.

  • Ensure bins aren't overflowing.

  • Be the main point of contact for building management (Hausverwaltung in Austria).

  • Maintaining an up to date inventory of all equipment valued at over 50 EUR.

  • Sell old devices when they are no longer needed.

  • Manage our lunch program.

  • Ensure that everyone is following the Office Basics.

  • Manage access to the office for team/cleaners/guest. Includes inviting people to our smart lock app. And removing access when it is no longer needed. Avoid handing out the PIN pad combo, as this cannot be revoked.

  • Ensure that the office has adequate storage zones, and be available to inform team members where it's OK and where it's not OK to store jackets, gym bags, skateboards, etc.

  • Maintain an up to date list of which people have physical office keys.

  • Answer the company phone.

  • Deliver outgoing letters to the post office.

  • Set up travel arrangements for the team.

  • Ensure that new team members are given access to tools such as g-suite, Office 365, slack, Jira, etc when they join 9Y. When people leave the company, offboard them. Inform the HoP about new team members joining, so that they can organise the onboarding experience.Organise a desk for new team members that are joining.

  • Perform purchasing on behalf of the team.Organise birthday presents for team members.Organise a "1 year at 9Y" present for team members.
